Connecting QuickBooks Online
Describes Fynease as of September 2026
Each company in Fynease connects to its own QuickBooks Online company through Intuit's sign-in, from Connect Data with Connect QuickBooks. Fynease asks for access to accounting data only. The connection is separate from your Fynease sign-in, and its access tokens are stored encrypted on the server.
The first sync
After connecting, you choose a date range (the last 12 months by default) and what to bring in: trial balance, general ledger transactions, AR aging, AP aging, employees and budget. You can skip it and set up later.
What Fynease reads
- Trial balances and the general ledger, with the class, department, customer, supplier and employee on each line.
- The chart of accounts.
- AR and AP aging.
- Customers, suppliers and employees, and company details such as the fiscal year start, the books-closed date and the currency.
- Item-level sales and purchase lines, which make price, volume and mix analysis possible.
- Invoice currencies, QuickBooks exchange rates, tax codes, and profit and loss budgets.
How far back
The trial balance always covers the current fiscal year and the five complete fiscal years before it; a wider range can be chosen. Fixed asset cost accounts are read from the company's first transaction, whatever range you choose, so older assets appear individually.
Staying up to date
- Every night Fynease checks each company for changes and pulls only what changed: the trial balance, the ledger months that moved, aging, and the customer, supplier and employee lists when they changed.
- Anything ambiguous, such as a deletion or a transaction moved between months, triggers a full pull, and once a week the full window is re-read.
- The nightly sync never changes your chart of accounts, budgets or tax settings. Sync those on demand with Sync what's new or Sync All.
- Your edits survive every sync: a classification you changed in the chart of accounts, and an exchange rate you typed, are never overwritten.
Books-closed date
Periods closed in QuickBooks Online (its books-closed date) are marked closed in Fynease automatically.
Disconnecting
Disconnect revokes Fynease's access at Intuit and clears the tokens. Your Fynease records, such as journals and schedules, are kept, and entries already posted to QuickBooks Online stay in your books.
